Your privacy matters. This policy explains how StudioSynq collects, uses, and protects your information and the customer data entrusted to the platform.

Overview

StudioSynq (“StudioSynq,” “we,” “our,” or “us”) is committed to protecting the privacy of its users and the customer data entrusted to the platform.

This Privacy Policy explains how StudioSynq collects, uses, stores, processes, and protects information in connection with the StudioSynq platform and services. By using StudioSynq, you agree to the practices described in this Privacy Policy.

United States Only

StudioSynq is intended exclusively for use by businesses and individuals located within the United States. By creating an account or using the platform, you represent and warrant that you are located in and operating a business within the United States.

StudioSynq does not knowingly accept registrations from, process data from, or provide services to individuals or businesses located outside of the United States. If StudioSynq determines that a user is located outside the United States, it reserves the right to immediately suspend or terminate that account without refund.

As a U.S.-only platform, StudioSynq is not currently subject to the European Union General Data Protection Regulation (GDPR) or the United Kingdom GDPR. However, StudioSynq is committed to responsible data practices consistent with applicable U.S. federal and state privacy law, including the California Consumer Privacy Act (CCPA) where applicable.

Scope of This Policy

This Privacy Policy applies to:

  • StudioSynq platform users (business owners and their authorized team members)
  • Customer data provided by or on behalf of those businesses
  • Visitors to the StudioSynq website

Information We Collect

StudioSynq collects only the information necessary to operate and improve the platform.

A. Business Account Information

Full name, business email address, phone number, and business name and type.

B. Customer Data (Provided by the Business)

Through integrations (including Vagaro) or manual uploads, StudioSynq may process the following data on behalf of the business: customer names, phone numbers and email addresses, appointment and service history, no-show rates and visit frequency, revenue and spending patterns, appointment sources (e.g., Google, website, referrals), and other booking and performance-related data available through connected integrations.

C. Platform Usage Data

Dashboard interactions and feature usage, system activity logs, and session timing and navigation patterns.

D. Website and Technical Data

When users visit the StudioSynq website, we may automatically collect IP address, browser type and device information, and pages visited and session activity. This data may be collected using cookies or similar tracking technologies. See Section 14 for more on cookies and how to manage them.

StudioSynq does not collect or store payment card numbers, bank account information, or any other financial account credentials.

Why We Process Your Data

StudioSynq processes personal data only for the following business purposes, consistent with applicable U.S. privacy law:

Delivering the Service

Processing necessary to operate dashboards, generate insights, and provide consulting support as part of your subscription.

Platform Security & Fraud Prevention

Processing necessary to protect the integrity of the platform, detect abuse, and safeguard user accounts.

Legal Compliance

Processing required to comply with applicable federal or state law, respond to lawful legal requests, or enforce StudioSynq’s rights.

User Communications

Processing your contact information to send account, billing, and product communications. Promotional communications require your consent and are subject to opt-out at any time.

StudioSynq does not process data for any purpose beyond what is described in this Privacy Policy.

How We Use Information

StudioSynq uses data strictly to operate, improve, and support the platform.

A. Platform Functionality

Display dashboards and organize business data, segment and filter customer data for reporting, and generate performance reports and insights.

B. Analytics & Insights

Calculate retention rates and churn risk, analyze customer behavior and visit patterns, and track revenue trends and service performance.

C. Platform Improvement

Improve analytics models and accuracy, enhance system performance and reliability, and develop and test new platform features.

D. Communication with Users

StudioSynq may contact users via email for onboarding and account setup, billing and account notifications, product updates and service announcements, and promotional communications (opt-out available at any time).

Users may opt out of promotional communications at any time by clicking the unsubscribe link in any marketing email or by contacting support@studiosynq.com. Transactional and account-related communications are not subject to opt-out while your account remains active.

What We Do NOT Do with Your Data

StudioSynq is built on trust with the businesses it serves. We expressly commit that StudioSynq will never:

  • Sell, rent, or trade user data or customer data to any third party
  • Contact, solicit, market to, or communicate with the customers of any business using the platform, unless explicitly authorized in writing by that business
  • Share customer contact information or client lists with any outside business or organization
  • Use customer data for any purpose outside of delivering platform functionality and insights

Your client data is your client data. StudioSynq has no right to use it for any purpose other than serving you.

Data Ownership

All customer data submitted to or processed through StudioSynq remains the exclusive property of the business using the platform. StudioSynq processes and analyzes this data solely to deliver the services described in these Terms.

StudioSynq retains ownership of its own intellectual property, including:

  • Analytics systems and dashboards
  • Scoring models and algorithmic frameworks
  • Derived, fully anonymized and non-identifiable analytics

Aggregated and anonymized insights derived from platform data do not constitute user or customer data and remain the property of StudioSynq.

Third-Party Integrations

StudioSynq may connect with third-party platforms such as Vagaro to retrieve business and appointment data on your behalf. StudioSynq is an independent platform and is not affiliated with, endorsed by, or operated by Vagaro or any other third-party provider.

StudioSynq is not responsible for:

  • The accuracy, completeness, or timeliness of data provided by third-party platforms
  • Changes to third-party APIs or integration availability
  • Outages, data errors, or service disruptions originating from third-party platforms

By connecting a third-party integration, you represent that you have the legal authority to authorize StudioSynq to access data from that platform on your behalf and that doing so complies with that platform’s terms of service.

Service Providers

StudioSynq may engage third-party service providers to assist in operating the platform. These providers process data solely on StudioSynq’s behalf and are contractually required to handle data in accordance with appropriate security and confidentiality standards. Categories of service providers include:

  • Cloud infrastructure and hosting providers (e.g., AWS or equivalent)
  • Database storage and backup services
  • Email and communication delivery services
  • Analytics and error monitoring tools
  • Payment processors (who handle billing data independently under their own privacy policies)

StudioSynq does not authorize any service provider to use your data for their own independent purposes. A current list of key service providers is available upon request by contacting support@studiosynq.com.

Data Storage & Security

StudioSynq implements administrative, technical, and organizational safeguards to protect data from unauthorized access, disclosure, alteration, or destruction. Security measures include:

  • Encrypted data storage and transmission (TLS/SSL in transit; AES-256 at rest)
  • Role-based access controls limiting internal data access to authorized personnel only
  • Access to data is restricted to personnel who require it solely to operate, support, or improve the platform
  • Regular security reviews and monitoring
  • Secure, access-controlled cloud infrastructure

No system can guarantee absolute security. In the event of a data breach that affects your personal or business data, StudioSynq will notify affected users within 72 hours of confirmed discovery, or as required by applicable state law, whichever is sooner.

Data Retention & Deletion

StudioSynq retains data only as long as necessary to provide the service and fulfill legal obligations.

Upon account cancellation or termination:

  • All identifiable business and customer data will be permanently deleted within 30 days of account closure
  • System backup copies will be purged within 90 days of account closure

Retention Exceptions

Data may be retained beyond these windows only for compliance with applicable federal or state legal obligations, active fraud prevention or security investigations, or resolution of open disputes or pending legal claims.

To submit a data deletion request, contact support@studiosynq.com with your account information. Deletion requests will be confirmed in writing within 30 days.

Aggregated & Anonymized Data

StudioSynq may use fully anonymized and aggregated data derived from platform activity to improve the platform, develop analytics models, and generate industry-level benchmarks and insights.

Aggregated data used for these purposes:

  • Contains no personally identifiable information
  • Cannot be traced back to any individual customer
  • Cannot be traced back to any specific business

This use of anonymized data does not constitute a sale or sharing of personal data and is not subject to opt-out under applicable law. StudioSynq may retain non-identifiable, aggregated, and derived analytics indefinitely, including after account deletion.

Cookies & Tracking Technologies

StudioSynq may use cookies and similar technologies on its website to improve functionality and analyze traffic patterns. Types of cookies used may include:

  • Essential cookies: Required for basic website operation and user authentication
  • Analytics cookies: Used to understand how users interact with the site (e.g., pages visited, session duration)
  • Preference cookies: Used to remember user settings and preferences

These technologies do not collect sensitive personal data or financial information. StudioSynq does not use cookies for cross-site tracking or third-party advertising purposes. You may manage or disable cookies through your browser settings at any time. Disabling essential cookies may affect the functionality of the platform.

Your Rights & Data Requests

As a StudioSynq user, you have the right to:

  • Access: Request a copy of the personal data StudioSynq holds about you or your business account
  • Correction: Request that inaccurate or incomplete information be corrected
  • Deletion: Request permanent deletion of your account data (subject to the retention exceptions in Section 12)
  • Opt-Out: Opt out of promotional communications at any time
  • Portability: Request a copy of your business data in a machine-readable format where technically feasible

To exercise any of these rights, submit a written request to support@studiosynq.com with your full name, business name, and account email. StudioSynq will acknowledge all requests within 5 business days and fulfill them within 30 calendar days. StudioSynq will not discriminate against any user for exercising their privacy rights.

California Privacy Rights (CCPA)

If you are a California resident, the California Consumer Privacy Act (CCPA) provides you with additional rights regarding your personal information.

StudioSynq does not sell personal information as defined under the CCPA. You have the right to:

  • Know what categories of personal information StudioSynq collects and how it is used
  • Request deletion of your personal information, subject to limited exceptions
  • Opt out of the sale or sharing of personal information (StudioSynq does not sell or share personal information)
  • Non-discrimination for exercising your CCPA rights

To submit a CCPA request, contact support@studiosynq.com. Requests will be verified and fulfilled within 45 days as required by law.

Children’s Privacy

StudioSynq is a business-to-business platform intended exclusively for use by adults operating licensed or registered businesses. StudioSynq is not intended for use by individuals under the age of 18.

StudioSynq does not knowingly collect personal information directly from anyone under the age of 13. If StudioSynq becomes aware that it has inadvertently collected personal information from a minor, it will take immediate steps to delete that information.

Data Breach Notification

In the event of a confirmed data security incident that involves unauthorized access to, disclosure of, or loss of personal or business data, StudioSynq will:

  • Notify affected users via the email address on file within 72 hours of confirmed discovery
  • Provide a description of the nature of the breach, the data involved, and the steps taken to address it
  • Comply with all applicable state data breach notification laws

StudioSynq will cooperate with affected users and, where applicable, relevant regulatory authorities throughout the resolution process.

Business Transfers

If StudioSynq is involved in a merger, acquisition, asset sale, or other business transfer, user data may be transferred as part of that transaction. In such an event, StudioSynq will:

  • Provide notice to affected users via email or in-platform notification prior to data being transferred
  • Ensure the acquiring party agrees to honor this Privacy Policy or provide users with the opportunity to delete their data before transfer

Do Not Sell or Share My Personal Information

StudioSynq does not sell, rent, or share personal information with third parties for monetary or other valuable consideration. This applies to both user data and customer data processed through the platform.

If you wish to formally confirm your opt-out rights or submit a “Do Not Sell” request under applicable law, you may do so by contacting support@studiosynq.com. No personal information will be sold or shared in response to or independent of such a request.

Changes to This Privacy Policy

StudioSynq may update this Privacy Policy periodically to reflect changes in platform functionality, legal requirements, or data practices.

For material changes, StudioSynq will notify users via email and/or an in-platform notice at least 7 days before the updated policy takes effect. The “Last Updated” date at the top of this document will reflect the most recent revision.

Continued use of the platform after the effective date of an updated Privacy Policy constitutes your acceptance of the updated terms. If you do not agree with any changes, you must discontinue use and cancel your account before the effective date.

By creating a StudioSynq account or using the platform, you acknowledge that you have read and understood this Privacy Policy and agree to the collection, use, and processing of your information as described herein.
